Following up without annoying
In short
Most replies come after a follow-up, so plan two or three. Each one is shorter than the last, adds something new and waits a few days, and the sequence stops the moment someone replies.
A simple plan

- What it says: The first email: why them, what you do, one easy question.

- When: 3 days later
- What it says: A new angle: a short example or result from a company like theirs.

- When: 4 days later
- What it says: A useful question about their situation, or a resource worth their time.

- When: A week later
- What it says: Close the loop politely: “Not a priority right now? I won't follow up again.”
Set the waits in the campaign's Editor, in days or hours (up to 90 days). More steps aren't better: each extra one risks annoying the people who chose not to answer. The sequence
What each follow-up should do
- Be shorter than the one before it.
- Add one new thing: an example, a result, a question or a resource. Repeating the first email adds nothing.
- Make sense on its own, for someone who missed the first email.
- Stay in the same thread: leave the subject empty, and it's sent as a reply to your first email.
What annoys people
- Guilt: “Just bumping this”, “Did you see my last email?”, “I haven't heard back”.
- False urgency and made-up deadlines.
- Writing again within hours, or every day.
- Writing again after someone said no or asked you to stop.

- An unsubscribe
- The link in the email, or a reply asking to stop: the address is suppressed, so no campaign emails it.
- A bounce or a spam complaint
- The address is suppressed the same way.

If something's wrong
- A follow-up arrives as a new email, not under the first one.
- Clear its subject in the Editor: an empty subject sends it as a reply in the same thread.
- Someone who replied still got a follow-up.
